Corporate Assistant

For our Headquarters in Binningen, BL, we are looking for an open-minded colleague. The Corporate Assistant will be responsible for managing a small team of receptionists, cleaners and a caretaker, supervising and coordinating their activities to ensure the smooth running of the Head Office.

The successful candidate will be responsible for managing general administrative and office/facilities-related activities, including front of house and travel arrangements. The role-holder will be in contact with colleagues and employees throughout our international office network and as such, an understanding of different cultures would be advantageous.

Main Duties and Responsibilities

Administration
• Providing general administration assistance to the
corporate functions at the HQ (incl. finance, treasury, tax
and legal)
• To coordinate the collation and notarisation of
documents, as requested by General Counsel, Executive
Assistant, etc
• To ensure suitable supplies of stationery and equipment
are maintained, recording office expenditure and
managing the budget
• Creating and managing filing systems as required
• To facilitate the process of expenses expenditure
reporting, providing input to the budgeting process, as
required
• To provide adhoc support to the Executive Assistant in
the execution of her duties, as required
• To provide full cover for the role of Executive Assistant
during periods of holiday and other absences

Facilities
• To manage the team of cleaners and caretaker,
coordinating their activities and supervising their work
• To maintain the high standards and condition of the
office, including organising the office layout as required
• To be responsible for co-ordination of building
maintenance – ensuring that all plant, electrical and
mechanical equipment are maintained and regularly
serviced (as appropriate)
• To manage the allocation, maintenance and
monitoring/reporting of mobile phones, including
managing the supplier relationship and negotiations

Front of House/ Reception
• To manage the team of receptionists, coordinating their
activities and supervising their work
• To regularly perform reception duties, covering for
breaks, holidays and other absences of the receptionists

Travel & Event Coordination
• Business travel arrangements for all employees working
within corporate functions within Binningen (excl.
Chairman, CEO & Board members), including booking
flights, accommodation, car hire and taxis
• Maintain relationships with key travel suppliers, in
collaboration with the Executive Assistant
• To assist with the organisation of seminars and
conferences as required, including booking of venues and
accommodation, arranging transport, meals,
documentation and badges

Candidate Profile
• Candidates will ideally have worked successfully in a
busy general office administration role, with experience
of office management, travel booking, supplier
management and negotiation. We are particularly
interested to hear from candidates who have had prior
experience as executive assistant or personal assistant.
• Someone who is service oriented, proactive and able to
work independently/on their own initiative, whilst
showing excellent attention to details, is required.
• In addition, candidates will have excellent interpersonal
skills. The ability to communicate clearly, concisely and
to any audience, no matter what the medium is very
important in this role.
• Candidates should also demonstrate organisational and
prioritisation skills (for self and others) and be capable of
responding positively to pressure. This should be coupled
with an instinct to be collaborative and helpful to
colleagues, following up tasks appropriately and keeping
the team and managers up-to-date on activities and
progress.
• Proficient in Microsoft Office package
• Fluent in German (High German, Swiss German
advantageous) and English, Spanish and French
desirable.
